We're a bustling, rapidly expanding companion animal hospital nestled in an 11,000 square foot space in the Arcadia area of Phoenix. With a team of 4 doctors and 24 support staff, we offer comprehensive services including grooming and pet boarding. Currently, we're seeking a compassionate and enthusiastic individual to join our front office as a Client Service Representative, offering both full and part-time positions.

Position Responsibilities

As a Client Service Representative at our hospital we expect you to provide the highest quality of client quality care as well as compassion for our patients.
CSR at ingleside vet hospital

  • Conduct opening and closing procedures
  • Welcome clients and their pets by name upon arrival
  • Assist clients with check-in processes and update contact information
  • Prepare informational packets for new clients
  • Organize patient records, consent forms, and other documents for the following day
  • Handle incoming telephone calls and schedule appointments
  • Take messages as necessary
  • Alert doctors and technicians of patient arrivals
  • Maintain and update client and patient databases
  • Check-out clients at the end of their visits, explain invoices and treatment plans
  • Manage Rabies certificates, Sterilization forms, and Health Certificates
  • Handle mailing tasks including certificates, invoices, reminders, thank you cards, and sympathy cards
  • Keep the waiting room and reception area tidy throughout the day
  • Coordinate pet boarding schedules
  • Perform computer data entry including service records and updating vaccination and client/patient information
  • Complete end-of-day computer tasks, prepare deposits, and record transactions
  • Confirm appointments by calling clients
  • Conduct follow-up calls as directed, record client feedback, and inform the Doctor
  • Possess general knowledge of over-the-counter products
  • Receive signed consent forms for surgeries, treatments, euthanasia, and payment agreements
  • Track no-shows, cancellations, and rescheduled appointments
  • Present invoices, process payments, and provide general estimates
  • Perform daily light cleaning of the waiting area, office, public restrooms, and exam rooms
  • Attend continuing education seminars as directed by the hospital administrator
  • Fulfill other duties as assigned
